They are now looking for a dedicated, professional Office Manager who can bring structure, leadership and passion to the heart of the business.
Role & Responsibilities of the Office Manager:- Support the Managing Director on all day-to-day operations, acting as his trusted right hand
- Monitor and respond to emails on behalf of both the business and the MD
- Ensure all policies, procedures and documentation remain accurate and up to date
- Produce HR documentation including contracts, letters and agreements
- Support the upcoming website relaunch and ongoing digital updates
- Oversee social media marketing and brand presence
- Prepare quotations for all projects and follow up on enquiries
- Order supplies, materials and negotiate pricing with suppliers
- Complete Risk Assessment Method Statements (RAMS) for all projects
- Coordinate with the wider team regarding project locations, timings and key contacts
- Track and update ISO requirements
- Report on accounts during management meetings
- Stay updated with all guidance and developments from FeRFA
- Maintain and update the internal database
- Prepare and submit award entries to showcase the company’s achievements
- Provide day-to-day leadership to the Office Administrator and support long-term plans to grow the admin function
Finance responsibilities:
- Basic bookkeeping with support from an external accountant
- Use accounting software (Xero) to upload receipts, cross-check quotes with invoices and raise invoices
- Data entry including new suppliers, customers and subcontractors
- Process expenses
- Chase outstanding customer payments
- Reconcile accounts and bank statements
- Investigate accounting discrepancies alongside the Managing Director
- Provide basic cashflow updates
- Identify opportunities for cost savings across the business
About You as the Office Manager:- Proven experience as an Office Manager with financial/accounting responsibilities
- Strong working knowledge of Microsoft Office (Word, Excel, Outlook)
- Experience using accounting software (Xero preferred, training can be provided)
- Confident, professional, honest and able to represent the business with credibility
- Skilled at producing quotations, managing invoices and maintaining accurate documentation
- Able to lead and support others, this role will manage the Office Administrator
- Excellent organisational skills with the ability to run an office effectively, sometimes single-handedly
- A proactive, committed individual who wants to grow with the company and take pride in their work
- Strong communication skills and the ability to copy-type dictation from the Managing Director when required
