Role & Responsibilities of the Executive Personal Assistant:
  • Provide high-level, proactive support to a senior leader, managing a complex diary and ensuring they are fully briefed and prepared.
  • Lead day-to-day operations of the senior leader’s office, maintaining efficient processes and supporting the wider Executive Support team.
  • Act as a key point of contact for internal and external stakeholders, handling sensitive matters with discretion and professionalism.
  • Prepare agendas, papers, reports, briefings, and correspondence to support informed decision-making.
  • Coordinate meetings, events, VIP visits, and complex national and international travel arrangements.
  • Support governance processes and senior committees through preparation of documentation, minutes, and follow-up actions.
  • Contribute to major events, projects, and initiatives, ensuring alignment with institutional priorities.
  • Assist with administrative tasks such as financial processing and HR processes, including interviews and record-keeping.

About You as the Executive Personal Assistant:
  • Significant experience supporting senior leaders at Executive or Board level.
  • Confident managing demanding diaries, competing priorities, and sensitive correspondence with accuracy and diplomacy.
  • Able to synthesise information quickly and prepare concise, high-quality briefings.
  • Excellent written and verbal communication skills, sound judgment, and a professional, confidential approach.
  • Highly organised, self-motivated, and able to work independently while contributing positively to a wider team.
  • Comfortable arranging complex national and international travel.
  • Strong IT skills, including Microsoft Office, and a proactive, solutions-focused approach.
  • Flexibility to occasionally support events or commitments outside normal working hours when required.
